This policy explains how iKYC Limited (Jersey company number 111217) and iKYC B.V. (registered in the Netherlands) (together, "iKYC", "we", "us") collect, use, and protect personal data. Our registered office is at Skylab, Floor 3, No. 3 The Forum, Grenville Street, St Helier, Jersey JE2 4UF.

1. Data We Collect

We collect personal data you provide directly, including name, email address, telephone number, company name, job title, and details of the banking or financial requirement you submit via our website or by email. We may also collect information about your use of our website via Google Analytics 4, including IP address, browser type, pages visited, and session duration.

2. How We Use Your Data

We use your personal data to assess and respond to banking enquiries, manage our client relationship, comply with our legal and regulatory obligations (including anti-money laundering requirements under the Proceeds of Crime (Jersey) Law 1999 and the Dutch WWFT), and to send occasional service-related communications where you have not opted out.

3. Legal Basis for Processing

We process personal data on the basis of: (a) performance of a contract or pre-contractual steps at your request; (b) compliance with a legal obligation; and (c) our legitimate interests in operating and improving our advisory service. Where we rely on legitimate interests, you have the right to object.

4. Retention

We retain client files and associated personal data for ten years following the end of an engagement, in line with our AML obligations under Jersey and Dutch law and applicable professional liability standards. Website analytics data is retained for 26 months.

5. Sharing Your Data

We do not sell personal data. We may share data with banks, asset managers, and custodians in connection with a banking placement, subject to appropriate confidentiality obligations. We use HubSpot (USA) as our CRM platform and Google Analytics 4 for website analytics. HubSpot processes data on our behalf under a Data Processing Agreement incorporating standard contractual clauses. Google Analytics 4 operates as an independent service; usage data collected is subject to Google's own privacy terms.

6. Cookies and Analytics

Our website uses Google Analytics 4, loaded through Google Tag Manager. GA4 sets cookies that collect usage data such as page views, referring source, approximate location and device type, to help us understand how visitors interact with the site. These analytics cookies are only set after you have given consent through our cookie banner. We do not use advertising or tracking cookies, and we do not share analytics data with third parties for marketing purposes. You can withdraw consent at any time by clearing your browser cookies or by reopening the cookie preferences from our banner. Strictly necessary cookies, which are required for the site to function, do not require consent.

7. Your Rights

Under the Data Protection (Jersey) Law 2018 and, where applicable, the EU General Data Protection Regulation and the Dutch AVG, you have the right to access, rectify, erase, or restrict processing of your personal data, the right to data portability, and the right to lodge a complaint with the Jersey Office of the Information Commissioner (JOIC).

8. Security

We maintain appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or destruction. Access to client files is restricted to authorised personnel on a need-to-know basis.
